Overview
Dibcase Software, LLC ("Dibcase," "we," "our," or "us") respects your privacy and values your trust. This Privacy Policy explains how we collect, use, disclose, and protect information in connection with our websites (dibcase.com and its subdomains), our applications including Dibcase and Dibcase ProApp, and related services (together, the "Services").
By using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services. This policy is a companion to our Terms of Service.
Who this policy is for
Our customers are law firms and disability practices (each, a "Firm"). This policy addresses two kinds of information: (1) information about visitors and Firm users who interact with us directly, and (2) case and client data that a Firm stores in the Services on behalf of its own clients.
Client and case data (our role)
When a Firm uses the Services to manage its matters, the Firm controls the case and client data it enters and remains responsible for it. Dibcase acts as a service provider / processor, handling that data on the Firm's behalf and under its instructions to provide the Services.
Because Dibcase serves legal and Social Security disability practices, case data may include sensitive personal information and health-related information about a Firm's clients. We handle such data as confidential and process it only to provide and support the Services. A Data Processing Addendum is available to Firms on request.
Dibcase is not a law firm and does not provide legal advice.
Information we collect
We collect the following categories of information:
- Account & Firm information you provide — such as name, email, postal address, phone number, Firm name, role, username, and password.
- Case & client data a Firm enters into the Services to manage its matters, which may include protected client and claim information.
- Payment & billing information — such as payment card details, billing address, and transaction records (payment card data is processed by our payment processors).
- Communications — information you provide when you contact us by email, phone, forms, or other means, including support requests.
- Usage & device data collected automatically — such as log data, IP address, browser and device type, pages viewed, and activity within the Services, including through cookies and similar technologies.
You can browse our public websites without providing personally identifiable information, but some features require it.
How we use information
We use information to provide, maintain, secure, and improve the Services; to authenticate users; to process payments and manage subscriptions; to provide customer support; to communicate with you about your account and service-related matters; to detect and prevent fraud and abuse; and to comply with legal obligations.
We use aggregated or de-identified usage information for purposes such as testing, research, analytics, and product improvement.
SMS / text messaging
Dibcase may send SMS text messages only for transactional, account-related purposes related to Dibcase and Dibcase ProApp — including account access, authentication and verification codes, account notifications, user-requested reminders, and service-related updates. Message frequency varies with account activity and your requests. Message and data rates may apply. Reply HELP for help or STOP to cancel.
Mobile information, SMS opt-in data, and consent will not be sold, rented, released, disclosed, transferred, or shared with third parties or affiliates for marketing, promotional, advertising, lead-generation, or analytics purposes. Mobile phone numbers collected for SMS are used only to provide the transactional messaging described here. No other section of this policy authorizes sharing SMS opt-in data, SMS consent, or mobile numbers for third-party marketing.
How we share information
We do not sell personal information. We share information only:
- with service providers (such as hosting, storage, payment processors, and support tools) who process information on our behalf under confidentiality obligations;
- for legal reasons — to comply with law or valid legal process, to enforce our agreements, or to protect the rights, property, or safety of Dibcase, our customers, or others;
- in connection with a business transaction such as a merger, acquisition, or sale of assets, subject to this policy; and
- with your direction or consent.
The SMS carve-out above applies notwithstanding anything in this section.
Cookies & analytics
Our websites use cookies and similar technologies for necessary functionality, performance measurement, and analytics. You can control cookies through your browser settings; blocking some cookies may affect your ability to use parts of the Services. Third parties that provide analytics or social-media features may set their own cookies, governed by their policies.
Data security
We use administrative, technical, and physical safeguards based on industry standards to protect information, and we require our vendors to maintain appropriate security. You are responsible for keeping your credentials confidential. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If we become aware of a security incident affecting your information, we will notify affected Firms consistent with our obligations and applicable law, and will cooperate to investigate and mitigate it.
Data retention
We retain information for as long as your account is active and as needed to provide the Services, and thereafter as required to comply with legal obligations, resolve disputes, and enforce agreements. On termination, a Firm generally has ninety (90) days to retrieve its content before deletion, except where longer retention is required by law.
International transfers
Dibcase is based in the United States, and information may be processed here or in other countries where our service providers operate. Where we process personal data of individuals in the EEA or UK, we do so under appropriate safeguards (such as the European Commission's Standard Contractual Clauses) and under our Data Processing Addendum, available to Firms on request.
Your privacy rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to the processing of your personal information, and to receive a copy in a portable format. Firms direct the case and client data in their accounts; if you are a Firm's client, please contact that Firm to exercise rights in data it controls.
To make a request, contact us using the details below. We will respond within the time required by applicable law (generally within 30–45 days). We will not discriminate against you for exercising these rights.
Children's privacy
The Services are intended for use by Firms and their authorized personnel and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will take appropriate steps.
Third-party links & services
The Services may link to or integrate with third-party websites and services that have their own privacy practices. We are not responsible for those practices; please review their policies before providing information.
Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be posted here with an updated "Last updated" date, and are effective when posted. Please review the policy periodically.
